A loan servicing migration checklist
Plan a loan servicing migration with a clear scope, balance reconciliation, document mapping, access review, and operational validation.

Define the loans and the starting point
Agree on which loans are moving and the date the new system begins to support operations. Identify the source for loan terms, balances, payment activity, contacts, and documents. Record any loans or historical information outside the initial scope so the team knows where to find them after transition.
Map fields and relationships
A migration is more than a spreadsheet upload. Borrowers, legal entities, properties, loans, and investor relationships may have different structures in each system. Review a sample export, document the mapping, and resolve duplicate identifiers or missing fields before scaling the import.
Reconcile opening balances
Specify how the team will validate opening principal, accrued amounts, and other balances relevant to your loan structures. Compare the imported values with the agreed source records as of the same date. Investigate differences rather than treating a successful import as evidence that every number is correct.
Preserve useful documents and history
Identify the documents needed for daily work and how they will remain connected to the correct loan. Decide which historical activity needs to be available in the new workspace and which records can remain in a controlled archive. Document retention and access requirements belong in the migration plan.
Validate representative workflows
Use a selection of loans that reflects your operational variety. Walk through a payment review, borrower request, draw packet, extension, and payoff where applicable. Include exceptions and confirm who reviews each outcome. Define acceptance criteria before the team begins relying on the new system.
Assign ownership for the transition
Name the people responsible for source data, reconciliation, access, training, and final acceptance. Agree on how activity during the transition is handled and how the team will resolve issues after rollout. The schedule should follow the scope and validation requirements; it should not replace them.
